The Medical Office Administrator is a key operational leader responsible for overseeing the daily administrative functions of medical practice. This role ensures seamless coordination between front-office operations, patient services, and clinical workflows, contributing to an efficient, compliant, and patient-centered environment. This role is also responsible for collaborating with staff members within their office, as well as team members and leadership to support and execute initiatives to drive metrics and goals.

  • Works with all members of the department health care team ensuring smooth patient flow within department.
  • Responsible for the day-to-day operations including achieving established goals such as quality of care and budget expectations.
  • Ensures compliance with all policies and procedures in accordance with State and Federal Regulations.
  • Works with team leads to ensure daily tasks are completed timely throughout staff and providers.
  • Ensures appropriate scheduling throughout administrative and clinical areas in office to ensure patient and providers are covered.
  • Oversees work of teammates, including supervision, hiring, and terminations; work with leadership to determine staffing needs, and ensure efficient utilization of teammates ensuring consistency with ACE standard work and processes.
  • Demonstrates leadership and collaboration in problem solving with employees and patients.
  • Monitors performance, provides feedback regularly, evaluates skills, and supports staff through development planning.
  • Ensures thorough and effective orientation for all new teammates and coaches for high performance.
  • Performs other duties including monitoring budget expectations, improving patient satisfaction, and engaging teammates and providers in a positive, encouraging work environment.
  • Communicates regularly to all teammates, managers and physicians as necessary. Conducts teammate meetings daily, weekly and monthly.
  • Leads and/or participates in departmental quality improvement and service excellence activities. Research and resolve local clinical quality issues.
  • Steps in to assist in administrative or clinical areas as needed and within scope.
  • May support multiple locations.
  • Performs additional duties as assigned.
  • High school diploma, G.E.D. or equivalent
  • 2+ years of experience in a leadership role in a medical practice
  • Proficiency in Microsoft office applications (Word, Excel)
  • 5+ years of experience in a healthcare setting
  • Experience with EPIC EMR
  • Experience leading projects or team
  • Proven to be resilient and adaptive to changing environments
