Orrick currently has an excellent opportunity for a Office Manager for our Charlotte office. The Charlotte Office Manager oversees office operations and fosters a productive workspace for attorneys and staff. Working with the Office Leader and Regional Director of Administration, this role ensures resources and drives workplace initiatives. Working with Team Support, provides hands-on executive assistant support.

  • Manage day-to-day office functions, including vendor relations, space allocation, maintenance, and construction projects.
  • Coordinate with firm and office leadership on space management, budgeting, and reporting.
  • Ensure risk management policy compliance.
  • Collaborate on special projects and support initiatives that enhance staff performance and client service.
  • Demonstrate adaptability, strong communication, and serve as an organizational resource.
  • Foster a collaborative team environment and coordinate office events, wellness programs community service activities and employee engagement programs.
  • Handle confidential matters responsibly.
  • Proactively coordinates all administrative details on projects as requested by assigned attorneys, Team Leads or Director of Administration.
  • Acts as a resource for organizational knowledge.
  • Proactively encourages lawyers to delegate non-billable tasks.
  • Develops a solid understanding of their assigned partners, their practices, and clients.
  • Fosters strong relationships both internally and externally.
  • Maintains and demonstrates technical fluency in firm-licensed software and practice group specific tools and processes.
  • Acts as a team player, assisting colleagues during peak workloads.
  • Provides on-site EA office coverage consistent with local office coverage needs.
  • Intakes attorney requests, evaluates where technology could be used, delegates to appropriate resources or handles the request.
  • Prioritizes and helps attorneys meet due dates for important and deadline driven tasks.
  • Partners with lawyers and other Orrick resources to ensure expeditious opening of new matters.
  • Handles point to point travel, using Orrick’s online booking tool CONCUR.
  • Schedules both in-person and virtual meetings, events, teleconferences, and videoconferences.
  • Produces documents, utilizing litigation or transactional terminology.
  • Collaborates with WLDS on document processing tasks.
  • Collaborates with Court Services department and Managing Attorney Offices on filing of documents.
  • Oversees creation of expense reports and payment and funds requests.
  • Serves as a point person for time entry.
  • Integral part of helping to generate complete and accurate bills.
  • Participates in firm initiatives and special projects.
  • Contributes to a collaborative, congenial and productive team environment.
  • Proactively identifies and makes suggestions for process improvements.
  • Demonstrates an openness to constructive feedback and a flexibility to adjust behavior or performance.
  • Participates in training sessions to enhance skills and knowledge.
  • Other duties as assigned.
  • Bachelor's degree or equivalent experience.
  • Minimum of 5+ years' experience in a law firm environment preferred.
  • Excellent computer skills, including MS PowerPoint, Excel, Word and Outlook e-mail and calendar.
  • Excellent organizational skills.
  • Proven ability to handle multiple tasks, concurrent projects and competing priorities in a high-volume, fast-paced, and deadline-driven service organization.
  • Proactive and enthusiastic approach to client service and teamwork.
  • Willing to take on new responsibilities, as needed; adapts quickly to changing circumstances.
  • Strong analytical, problem-solving and interpersonal skills.

  • The expected salary range for this position is between $74,000 and $100,000.
