About The Position

Position Description: Contributes to the overall success of PPCH through assisting various departments with complex clerical, scheduling, organizational, planning, and interpersonal responsibilities.

Requirements

  • Advanced written and verbal communication skills.

Responsibilities

  • Performs office and clerical tasks for the various departments.
  • Improves and organizes office operations and procedures.
  • Oversees maintenance of building and office equipment, which involves partnering with building management and office supply vendors.
  • Responsible for office supply inventory, ordering, distribution.
  • Manages incoming and outgoing mail and faxes.
  • Manages incoming and outgoing phone calls.
  • Manages internal office scheduling.
  • Assists with answering phone calls from all PPCH locations when needed.
  • Responsible for the management and tracking of PPCH property that is distributed to employees.
  • Scheduling member appointments and coordinating service schedules for all PPCH departments including Clinical, CIE, and other departments as assigned.
  • Back-up support for PPCH Executive Assistant when needed to include answering email, voicemails, and other duties as assigned.
  • Assisting with the scheduling and coordinating of social events at this location.
  • Responsible for maintenance of the PPCH fleet vehicle(s) at this location
  • Greets and assist staff, customers, PPCH partners, and other visitors in-person, on-line, and by phone.
  • Continually models and encourages a culture of inclusiveness, equity, and diversity.
  • Maintains strong relationships with PPCH program leadership and staff, customers, vendors, and contractors who effect the operations of PPCH.
  • Collaborates with programs and departments to carry out PPCH goals and objectives.
  • Demonstrates excellent customer service and respect for others including individuals in services, staff, guardians and loved ones, and others.
  • Completes required trainings, including annual refreshers, according to established timelines.
  • Ensures confidentiality and security of information.
  • Maintains knowledge and understanding of PPCH and other regulating agencies’ policies, procedures, rules, regulations, and guidelines as related to position.
  • Assists with audits as requested.
  • May assist other departments or supervisors.
  • Assists with marketing tasks, as requested.
  • Resets passwords, as needed.
  • Other duties as assigned.
