About The Position

BASIC FUNCTION: Perform proficient, specialized supervisory, administrative and highly skilled office management work; organize, manage and direct the clerical functions of the assigned department; assume primary responsibility for implementing designated activities and operations of the department; provide staff training and recommend training from outside agencies; maintain official records; execute administrative policies.

Requirements

  • Any combination of education, training and/or experience equivalent to: Associate's Degree (AA) plus related courses and five years of relevant experience.
  • Valid California driver's license.
  • Employment eligibility that may include fingerprints, Tuberculosis and/or other employment clearance.
  • Proficient, specialized method of District and Department operations
  • Procedures, methods, techniques, and strategies utilized in managing processes and procedures for a major District Department
  • Supervisory techniques, evaluation and documentation, hiring processes and procedures
  • Correct English usage, grammar, spelling, and punctuation
  • Computers and other office equipment
  • Superior communication and interpersonal skills using tact, patience and courtesy
  • District policies, the State Education Code, and other laws, rules and regulations related to assigned duties
  • Budget management, database management and systems applications (IFAS, HRS, MS Office)
  • Perform a variety of proficient, specialized duties required for effective Department management.
  • Provide information regarding Department, school, or District programs, procedures, activities, rules, and regulations
  • Assure compliance with school and District policies and regulations
  • Learn, interpret, apply, and explain laws, rules and regulations
  • Observe and analyze situations accurately to determine an effective course of action
  • Communicate clearly with staff, Board members, and others contacted in the course of work
  • Understand and follow oral and written directions and work cooperatively with others
  • Meet schedules ad time lines and maintain a safe and orderly environment
  • Maintain proficient, specialized records, budgets and reports

Responsibilities

  • Perform proficient, specialized supervisory, administrative and highly skilled office management work; organize, manage and direct the clerical functions of the department; assume primary responsibility for implementing designated activities and operations of the department; provide staff training and recommend training from outside agencies; maintain official records; execute administrative policies.   • Perform a variety of complex, diverse and supervisory clerical duties involving independent judgment and action; assign, coordinate and review work of support staff with a variety of position classifications. E
  • Identify, plan and implement office administrative procedures and policies as directed. E
  • Manage, assign, coordinate, review and evaluate work of support staff. E
  • Complete primary clerical assignments as assigned where knowledge, judgment and discretion are critical. E
  • Resolve complaints and handle emergency situations. E
  • Research and facilitate routine inquiries and refer inquiries to appropriate sources for consideration and action. E
  • Coordinate, analyze and organize office operations and procedures such as data entry, book-keeping, monitoring department budgets, preparing timesheets, composing correspondence, filing, requisitioning of supplies, and other assigned duties. E
  • Interact regularly with employees, community members and representatives of organizations. E
  • Supervise one or more support staff employees; provide overall direction, coordination and evaluation of the department; perform supervisory responsibilities in accordance with the District's policies and applicable laws; interview, hire and train employees; plan, assign and direct work; appraise performance; reward and discipline employees; address complaints and resolve issues. E
  • Utilize personal and network computers for word processing, departmental budget management, database management and systems applications (Escape, HRS, MS Office). E
  • Perform related duties as assigned.
