About The Position

The Office Manager for our Boston office is a role dedicated to sparking delight through a seamless workplace experience. This associate acts as the heartbeat of our Boston hub, moving beyond daily tasks to strategically manage our facilities, lead high-impact internal events, and provide administrative support to our executive leadership. Sitting within the People Team and reporting to the Director, Associate Engagement & Communications, you will empower our Boston associates by creating an environment where they can do their best work. This role requires a tenacious problem-solver with a passion for hospitality and a collaborative spirit.

Responsibilities

  • Culture leadership: Act as the primary ambassador for the Boston office, proactively identifying ways to foster an inclusive and high-functioning environment that reflects our RGG values. In partnership with the People Team and other teams (e.g., DEI Core Groupe), design and execute a calendar of internal events that drives connection across all locations – this may include bagel Tuesdays, quarterly lunches, large-scale holiday celebrations, philanthropy initiatives, DEI programming, company-wide meetings, executive offsite events, etc.
  • Meeting support: Coordinate logistics for large on-site meetings, including room setup, catering, and audiovisual requirements in collaboration with IT.
  • Office operations: Oversee the full scope of office functionality, ensuring all equipment, supplies, and vendor services (catering, security, cleaning) are optimized for efficiency.
  • Budget & fiscal oversight: Own the workplace experience budget, analyzing expenditures to identify cost-saving opportunities while maintaining a premium associate experience.
  • Employee onboarding & offboarding: Lead the physical onboarding and offboarding process in partnership with HR and IT, ensuring every new associate feels a "sense of discovery" from day one. This includes badge setup, desk setup, access management, and equipment retrieval.
  • Collaboration: Partner closely with the NYC Office Manager to align culture initiatives and share best practices across our corporate hubs.
  • Vendor partnership, management, and negotiation: Directly manage all building service contracts (HVAC, maintenance, security), leading the bidding process and negotiating terms to ensure RGG receives top-tier service. Collaborate with the Legal team to finalize and execute service contracts.
  • Project management: Oversee office repairs and infrastructure projects, acting as the primary point of contact for contractors to ensure minimal disruption to the business.
  • Facility excellence: Conduct rigorous routine walkthroughs to maintain our aesthetic standards and prioritize long-term maintenance needs.
  • Safety & security compliance: Lead health and safety standards, managing emergency procedures and documentation in collaboration with the People Team and IT.
  • Administrative support: Provide dedicated, confidential support to assigned executive leadership, anticipating needs before they arise. Provide coverage for other Executive Assistance as needed.
  • Calendar & travel management: Manage intricate calendars and coordinate domestic and international travel, ensuring every detail is seamless for our leaders.
  • Financial administration & expense reporting: Manage and submit precise expense reports and financial documentation for executive leadership.
  • Meeting & offsite preparation: Lead the creation and delivery of materials for executive meetings and offsite events, ensuring all presentations and reports are polished and professional (e.g., printing/binding of materials, delivery of materials, etc.).
