This individual provides day-to-day oversight for the Dallas Regional Office to create a highly effective and functional office consistent with Ryan’s standards for employees, customers, vendors, sub-contractors, and guests.

Requirements

  • Least 2 years of experience in office management
  • A high school diploma or equivalent is required
  • Ability to maintain confidentiality of company information and have a heart of service for both internal & external customers
  • Knowledge of Microsoft Office Suite/Microsoft 365 including Word, Excel, PowerPoint, and Outlook is expected
  • Experience in a construction/engineering/design environment
  • Position requires verification of employment to work in the U.S.

Responsibilities

  • Support the growth of the regional office and be responsible for onboarding new office and field staff
  • Negotiating purchasing/leasing and service contracts on all business machines
  • Negotiating shipping contracts and vendors
  • Maintain current office floor plan with workstation assignments and changes
  • Order and adequately stock office supplies
  • Schedule meetings with internal and external customers
  • Maintain a professional office environment
  • Provide administrative support to the Region President and Vice President of Operations
  • Internal and external customer assistance
  • Expense report filing for individuals as assigned by the Region President
  • Manage and plan domestic travel, meeting, and events for Region President / Vice President of Operations
  • Create and maintain close working relationships with organizational peers, and staff members, both internally and externally
  • Understanding and working knowledge of conference room and meeting space technology
  • Creating and maintaining all electronic and manual files
  • Drafting letters, memos, emails, etc.
  • Covering the phone and front desk; greeting visitors and guess
  • Calendar coordination for regional/office events
  • Coordinating travel arrangements & map destinations, compiling and distributing itineraries
  • Coordinating Ryan Companies visitors (in partnership with assigned EA’s, visitors, etc..) by assisting in the preparation of the agenda, creating meeting requests (if needed), ensuring logistical accommodations, and arranging for any special needs
  • Organizing company events as assigned; including any activities related to budgets, invitations, registration, etc…
