About The Position

Rex and Margaret Fortune School of Education is a comprehensive education system including non-profit preschools, a network of tuition-free public charter schools (TK–12), and a School of Education offering master’s and educator preparation programs accredited by the California Commission on Teacher Credentialing. The Office Manager is the cornerstone of daily operations at the school site, ensuring efficiency, accuracy, and exceptional service to students, families, and staff. This role supports the Principal and school community by managing administrative and financial functions, maintaining accurate records, and coordinating communication between the site and Central Office. The Office Manager must be detail-oriented, highly organized, and capable of handling multiple priorities while maintaining professionalism and confidentiality.

Requirements

  • Strong bookkeeping and accounting skills.
  • Excellent organizational and time management abilities.
  • Ability to manage multiple priorities and meet deadlines in a dynamic school setting.
  • Effective problem-solving and critical-thinking skills.
  • Skilled in Microsoft Office Suite (Word, Excel, Outlook); proficient in spreadsheets and databases.
  • Ability to handle stressful or sensitive situations with professionalism and discretion.
  • Exceptional verbal and written communication skills.
  • Bachelor’s degree preferred or equivalent experience.
  • Minimum two years of office management experience, preferably in an educational setting.
  • Proficient in Microsoft Office and Excel; ability to type at least 35 words per minute.
  • Strong command of the English language, both written and oral.
  • Department of Justice (DOJ) and FBI Fingerprint Clearance
  • Tuberculosis (TB) Screening

Nice To Haves

  • Knowledge of school operations and district policies (preferred).

Responsibilities

  • Provide direct administrative assistance to the Principal, staff, and families.
  • Answer and route phone calls, prepare correspondence, and manage office communications.
  • Maintain organized files, student records, and correspondence logs.
  • Oversee visitor check-in procedures, ensuring compliance with site safety protocols.
  • Support emergency and crisis management procedures (e.g., fire drills, lockdowns).
  • Perform bookkeeping and accounting duties for the school site.
  • Prepare and process deposits for submission to Central Office.
  • Track and reconcile petty cash, student activity funds, and parent organization accounts.
  • Attend budget-related meetings and ensure financial transactions adhere to Fortune School policies.
  • Work collaboratively with Central Office to ensure compliance with organizational policies.
  • Communicate effectively and courteously with parents, staff, students, and community members.
  • Maintain confidentiality regarding student, staff, and financial information.
  • Provide outstanding customer service to internal and external stakeholders.
  • Provide back-up coverage to other office roles as needed.
  • Supervise projects and ensure completion of assigned tasks within deadlines.
