About The Position

avad3 is seeking a highly organized and proactive Office Manager to help keep our office, logistics, and internal systems running smoothly. This role is ideal for someone who thrives in a fast-paced, detail-heavy environment where ownership, follow-through, and professionalism matter. You’ll serve as a central operational hub—supporting administrative systems, finance coordination, travel logistics, facilities management, and event logistics. We’re looking for someone who notices what needs to be done before being asked. Someone who finds satisfaction in bringing clarity to complexity. Requirements

  • 2+ years of experience in administrative, operations, office management, or coordination roles
  • Strong organizational and time-management skills
  • Proficiency in common business software platforms (Google Workspace, scheduling tools, accounting systems, etc.)
  • Ability to manage multiple projects and deadlines simultaneously
  • Comfortable in a fast-paced environment with shifting priorities

Nice To Haves

  • Experience in event production, creative agencies, or small business environments
  • Experience coordinating travel logistics
  • Experience supporting multi-functional teams
  • Familiarity with production or logistics scheduling systems
  • Working knowledge of bookkeeping basics and administrative finance support

Responsibilities

  • Maintain accurate and up-to-date internal information hubs and documentation
  • Assist the Finance Director with bookkeeping and administrative finance tasks
  • Manage incoming calls and route communications appropriately
  • Oversee and maintain the company-wide calendar
  • Ensure offices remain stocked, organized, and professional
  • Open and close the office daily
  • Coordinate with external vendors for maintenance and facility needs
  • Provide administrative support to co-working tenants
  • Book flights, lodging, and ground transportation for team members
  • Maintain accurate travel records and related documentation
  • Coordinate crew bookings, equipment rentals, and freight logistic
  • Maintain and update logistics calendars and schedules
  • Support production managers by ensuring operational details are clearly documented and executed
  • Support both short-term and ongoing operational initiatives
  • Identify inefficiencies and improve internal systems proactively
  • Step in wherever needed to ensure the team operates smoothly
