Position Overview Woolpert is hiring an Office Manager to join our dynamic Administrative Team at our Glendale, CO office. This position reports to the Regional Business Manager and is responsible for overseeing assigned administrative staff to effectively support an office or multiple offices as required. We are unable to provide visa sponsorship for this position. Applicants must already possess work authorization in the country the job is located.

Requirements

  • Must have ten (10) years of related professional work experience.
  • Evening and weekend work required as needed.
  • Must possess expert Microsoft Office suite skills.
  • Must have excellent time management skills.
  • Must have excellent communication skills.
  • Strong attention to detail.

Nice To Haves

  • AA/AS and/or BA/BS degree in related field of study.

Responsibilities

  • Coordinate daily administrative support services: facilities, security, mail distribution, record management, and other office administrative support services.
  • Design and maintain filing systems.
  • Monitor clerical functions. Retain, protect, retrieve, transfer, and dispose of records.
  • Maintain records and databases as requested.
  • Review current processes and recommend procedural or policy changes to improve operations.
  • Oversee daily facilities maintenance and custodial operations.
  • Work with the Facilities Manager on any office renovations/moves, handling all onsite needs and assigned tasks.
  • Coordinate office events, including employee appreciation events, local charity events, and corporate-sponsored events.
  • Provide high level administrative support to senior level staff, including meeting arrangements, travel arrangements, assist in assembling meeting documents and reports and other types of support as needed.
  • Work with other office management/leaders to provide a positive and supportive work environment for all staff.
  • Acts as liaison between local employees and the Regional Business Manager (RBM).
  • Acts as company representative for newly hired employees within office and participates in New Hire Orientation with RBM as appropriate.
  • Actively involved in support for firm-wide program(s).
