About The Position

As an Office Manager at Panorama Eyecare, you will play a pivotal role in our mission to deliver the best eyecare. The Office Manager will contribute to the fulfillment of Panorama Eyecare’s mission statement by making appointments, greeting and checking patients in and out for each doctor in a friendly, organized and efficient manner. They are also responsible for facilitating smooth patient flow within the office by following established office guidelines and serving as a general information source for patients. This position will serve as a leader for all aspects of operations at this location including, front office, clinical, and optical.

Requirements

  • High school diploma or GED. Bachelor’s Degree in Healthcare Administration, Business Administration, or related field preferred.
  • Previous experience in ophthalmology with use of electronic health records preferred.
  • Previous leadership experience required.

Responsibilities

  • Maintains the goal of providing the highest level of customer service to patients.
  • Verifies patient information and confirms insurance information and referral status/authorizations.
  • Obtains and retains knowledge of insurance company participation and requirements.
  • Registers patients correctly and completely in computer, providing consistency for patient listing and billing information.
  • Answers general questions for patients following established guidelines.
  • Schedules in-office appointments
  • Maintains awareness of schedule and problem solves when needed.
  • Collects payments from patients and correctly balances all collected monies against receipts.
  • Answers questions regarding insurance billing and office financial policies.
  • Submits all invoices in a timely manner to accounts payable.
  • Assists clinic with basic patient work up including vision, HPI, IOP, and Diagnostic testing
  • Assists optical with contact lens ordering and dispensing glasses.
  • Identifies equipment needs and coordinates repairs as needed
  • Ensures confidentiality of medical records and patient information.
  • Highlights areas of concern in efficiency at the front desk and works with the Business Department Manager to resolve these issues.
  • Assists with coaching, onboarding, training, and performance evaluations when needed
  • Maintains adequate stock of office/clinical supplies and requisition when needed.
  • Manages and oversees office staff schedule for assigned location.
  • Manages time & labor reporting and time off requests for all direct reports.
  • Other duties as assigned.
