About The Position

We are currently seeking a qualified candidate to join Beacon Pointe Advisors as an Office Manager in our _______ office. The ideal candidate will be responsible for assisting in all aspects for the firm’s daily operations in addition to handling general office management duties. This candidate will join a highly talented team of wealth management and client service professionals that service sophisticated, high net worth individuals. The team is responsible for providing a select group of clients with comprehensive wealth management services to include customized investment management and wealth planning services to help our clients achieve their financial goals.

Requirements

  • Four-year college degree or equivalent professional experience
  • Excellent interpersonal and verbal/written skills
  • Must be organized, detail-oriented and able to multitask
  • Proven ability to work in a fast-paced, evolving work environment
  • Enthusiastic demeanor and exhibits professional initiative
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Office 365, etc.) is a must.
  • A tech savvy mentality and ability to understand various system components (Zoom, Salesforce, Calendly, Microsoft Office applications, hardware and software).

Nice To Haves

  • Proficiency of QuickBooks is a plus.

Responsibilities

  • Perform administrative tasks as directed by partners/managing directors of the firm; this may include travel arrangements, setting and coordinating of meeting requests and other business needs
  • Coordinate client review meeting reminders for wealth advisors
  • Communicate and update various procedures to office personnel
  • Communicate changes and important info to advisors and staff
  • Assist office personnel with computer hardware and software needs along with the assistance of home office IT professionals
  • Supervise & assist client services associates and receptionist to ensure office runs smoothly
  • Serve as local office marketing point person with Beacon Pointe headquarters for various client and prospective client events and presentations
  • Attend/ participate in conference calls
  • Collaborate with HQ marketing and compliance to ensure all marketing materials are up to date and compliant
  • Review, edit, add graphics, etc. to presentations, letters and other various marketing communications for clients and prospective clients
  • Coordinate events such as holiday parties, work related happy hours, client events, prospective client events, team building activities, etc.
  • Coordinate and collaborate with the office partners on special projects
  • Correspond with managing directors regarding work order requests for office building
  • Input and update client information in various internal systems including CRM (Salesforce); create and generate reports as needed
  • Perform bookkeeping operations for the Fort Worth office
  • Assist with other general administrative and office management duties as needed
  • Additional duties may entail participation in team projects and assisting with initiatives designed to streamline firm policies and procedures.
