About The Position

The Office Manager is responsible for ensuring the smooth, efficient, and effective day-to-day administrative operations of United Action for Youth. This role oversees administrative systems, office procedures, and vendor relationships while providing critical support in accounting, budgeting, expense tracking, payroll, scheduling, and HR-related functions. The ideal candidate is highly organized, detail-oriented, and proactive, with strong communication and problem-solving skills. They bring experience in process improvement and change management to help foster a productive, compliant, and mission-aligned work environment.

Requirements

  • Bachelor’s degree or equivalent experience in business administration, nonprofit administration, or a related field
  • 3+ years of experience in office management, accounting, operations, or administrative leadership
  • Experience with accounting, budgeting, expense tracking, and payroll support
  • Strong organizational and project management skills
  • Excellent written and verbal communication skills
  • Demonstrated problem-solving and decision-making abilities
  • Proficiency with office software (e.g., Microsoft Office), office equipment, and QuickBooks.
  • Possess and maintain a valid Driver’s License
  • Proficient organizational, task, and time management skills

  • Experience in a nonprofit or youth-serving organization, with HR processes and compliance requirements, and with process improvement and change management initiatives preferred

Responsibilities

  • Oversee daily office operations to ensure efficiency, organization, and professionalism
  • Develop, implement, and maintain administrative systems, procedures, and policies
  • Manage office supplies, equipment, and inventory; ensure cost-effective procurement
  • Manage building, equipment, and vehicle maintenance and service
  • Coordinate office logistics, including space management and operational workflows
  • Maintain organized records and filing systems (digital and physical)
  • Assist with general office duties such as drafting correspondence; copying, printing, scanning, and filing documents; handling incoming and outgoing mail; and maintaining an organized electronic filing system
  • Exercise sound professional judgement and discretion on matters of consequence to the organization and its clients
  • Assist with budgeting processes and monitoring office-related expenses
  • Track expenditures and support financial reporting as needed
  • Support payroll processing and maintain accurate records
  • Assist leadership with financial documentation and administrative coordination
  • Support grant tracking, record keeping, and claims processing
  • Coordinate travel and meeting related reservations and logistics
  • Provide administrative support for HR functions, including securing background checks, orientation, onboarding, offboarding, and personnel records keeping
  • Help ensure compliance with organizational policies and relevant regulations
  • Assist with scheduling, staff coordination, and internal communications
  • Support training logistics, staff development initiatives, and strategic planning efforts
  • Establish and maintain relationships with vendors, service providers, and contractors
  • Negotiate contracts and ensure quality and cost-effectiveness of services
  • Monitor vendor performance and address issues proactively
  • Identify opportunities to improve office systems, workflows, and efficiency
  • Lead or support implementation of new processes and tools
  • Facilitate or support change management efforts to support organizational growth and adaptation
  • Provide comprehensive onboarding and ongoing training to staff
  • Perform other related tasks assigned by Associate Director or Executive Director
  • Develop and maintain knowledge of resources, services, and opportunities available to assist staff
  • Other related duties as assigned
