About The Position

Vumedi is the largest video education platform for doctors worldwide, dedicated to advancing medical education through innovative video-based learning. We curate a vast library of high-quality educational content, enabling users to enhance their skills, stay informed about industry trends, and improve patient outcomes. We are headquartered in Oakland, CA, and have additional offices in Minneapolis, MN, and Zagreb, Croatia. Vumedi is looking for a part-time, in-office Office Manager to support our Oakland office. This role is a key presence in the office and helps ensure that our workplace runs smoothly, feels welcoming, and supports both our employees and candidates. The ideal candidate is comfortable managing day-to-day office operations from day one and excited to grow into broader responsibilities across facilities, onboarding, events, and culture. This is a part-time, in-office role (Monday, Wednesday, Friday; 9am - 5pm PST) and an hourly rate between $35 - $40/hour based on experience.

  • Experience in office management, facilities, and/or event coordination.

Responsibilities

  • Facilities Management: Oversee the day-to-day operations of our office, including managing supplies, coordinating maintenance, and ensuring a functional and welcoming workspace.
  • Event Planning: Plan and execute internal events (e.g., team celebrations/outings, meetings, volunteering) and support coordination activities for offsite leadership planning sessions.
  • Candidate Support: Support the Talent Acquisition team with the candidate experience by greeting and welcoming candidates to our office for interviews, and assist with their schedule.
  • Employee Onboarding: Support the People Operations team with onboarding tasks such as employee workstation and tools coordination for the new employee's first day activities.
  • Growth Support: Anticipate and address the evolving needs of a growing office, from space to resource allocation, to ensure everything continues to run seamlessly.
  • Culture & Employee Experience: Help foster a positive work environment by supporting initiatives that enhance engagement and collaboration.
