Responsible for making sure that the daily office operations run smoothly and ensuring that the needs of clients are being met. Management reserves the rights to add, modify, change, or rescind the work assignments of different positions and to make reasonable accommodations so that qualified employees can perform the essential functions of the job. Communicates, brainstorms, and problem solves to maintain a productive and pleasant work environment. Keeps standards for client care consistent and looks for ways to improve. Keeps management informed of any important issues. Maintains a safe work environment, prepares for inspections, and gets deficiencies corrected. Manages daily office operations and shares duties with the Secretary/Receptionist. Prepares new client paperwork for clinicians and new clients. Reconciles petty cash. Makes the office look presentable and professional. Tracks receipts and makes cash deposits. Runs monthly reports such as Medicaid. Recommends hires, supervises, trains, schedules, and manages the performance of Secretary/Receptionist. Maintains office productivity by managing schedules. Ensures agency rules and policies are being followed and changes are implemented. Serves as the point person for all office, staff, and client needs. Gives support and encouragement to staff. Orders supplies and keeps inventory. Fills in for other staff as needed. Documents and communicates office needs to management. Ensures security, integrity, and confidentiality of data. Maintains HIPAA compliance and client confidentiality at all times. Regular and consistent attendance for the assigned work schedule is essential. Marginal Duties: Meets and checks in with staff to promote a productive work environment and communicate updates and changes. Organizes and streamlines office procedures and implement changes Perform other duties as assigned
