About The Position

UPMC is hiring a full-time Office Manager to join their University OB/GYN team! This position will be based out of Magee Women's Hospital, but will be responsible for supporting our offices in Bethel Park, Clairton, McKeesport, Monroeville, Mt. Oliver, Wexford, and Wilkinsburg. The Office Manager manages the timely and organized operation of the general services of the office including scheduling, coordinating templates, coordinating all operational tasks, and assisting the director of the center on a daily basis. The Office Manager will be essential in overseeing the implementation and alignment of multiple evolving processes with UPMC system standards. This role is critical to ensuring operational consistency, administrative compliance, and high-quality patient care across both the Oakland base and seven satellite locations. Internal collaboration with the Practice Manager, Office Manager & the Director of Operations is quintessential to maintain communication, safety preparedness and quality standards while enhancing workflows through innovative design processes. Hours for this position will be Monday through Friday, 8:00am to 4:30pm, with no evenings, weekends, or holidays! Previous experience with Epic and working in a medical office setting is preferred.

Requirements

  • Bachelor's Degree in Health Care or Business + 1 year healthcare or management experience OR
  • Associate's Degree in Health Care or Business + 2 years of healthcare experience or 1 year of management experience OR
  • High School Diploma +3 years healthcare experience or 1 year of management experience

Nice To Haves

  • Previous experience with Epic and working in a medical office setting is preferred.

Responsibilities

  • Anticipate scheduling issues when members of the staff are not scheduled.
  • Coordinate and staff laser templates, ensuring that patients are properly scheduled.
  • Review patient schedules routinely to troubleshoot for overbooked clinics, as well as staffing in respective areas of the department.
  • Develop and maintain a patient-centric culture, centered around patient arrival and follow up activities in line with the consumerism initiatives, if applicable.
  • Maintain correspondence with the Practice Manager concerning personnel, human resource, supplies, and patient issues.
  • Order all supplies and services as needed for this practice.
  • Be cognizant of and apply relative administrative, UPP, and departmental policies and procedures for the protection of the patients, staff and department.
  • Monitor and meet practice specific benchmarks inclusive of point of service and scheduling (inclusive of template management for timely patient access), if applicable.
  • Ensure that the clinical environment is patient friendly, appropriate for staff and physicians to work and be productive by working closely with the staff and physicians responding to issues and problem-solving.
  • Provide and coordinate maintenance on all equipment used by the clinical staff of the department.
