AIT is seeking a proactive Office Manager to join their team. The ideal candidate will provide comprehensive support, exhibit strong time management skills and be detail oriented. The role is responsible in coordinating office services and related activities while maintaining a pleasant work environment, ensuring high levels of organizational effectiveness, communication and regulatory affairs compliance.

  • Ability to participate as the safety committee chairperson.
  • Ability to train new leaders on the expense and travel Concur system.
  • Creates and processes post approval any leader monthly expenses.
  • Logs notes and follow up action items from key leadership meetings.
  • Supplies inventory and ordering of office supplies, warehouse supplies, and cleaning supplies.
  • U.S. Mail coordinator.
  • Update the LAX extension list.
  • Organize community events.
  • Order calendars and holiday gifts For Station and the LAX sales team.
  • Book hotel stays for AIT Employees or guests visiting LAX station.
  • Assist HR photos for AIT teammates, remind employees to sign up for new enrollments.
  • Assist with audits, fire/customs/TSA Inspection, regulatory compliance in general.
  • Coordinate conference room space with LAX, and Regional Employees. Coordinate conference calls for the sales team.
  • Order business cards for LAX Managers & LAX sales.
  • Coordinate employee luncheons, and employee anniversaries.
  • Set up vendors with corporate accounts payable and ensure vendors are paid.
  • Property liaison working with external vendors on maintenance and repairs.
  • Work with janitor, management, employees, that facility remains clean and orderly.
  • Assist with upgrading the company facility as needed to maintain continuous improvement.
  • Lead initiatives surrounding recycling electronics and shredding old AIT documents.
  • Log notes and follow up action items from key leadership meeetings.
  • Handle the setup of badges

  • 3-5 years’ Customer Service
  • Must have strong organizational skills and attention to detail
  • Flexibility to adapt to shifting priorities.
  • Independent thinker with the ability to work effectively with minimal supervision.
  • Advanced knowledge working with the Microsoft Office Suite – particularly how to create PowerPoint presentations, basic formulas in Excel, mail merges, tracking changes and editing in Word.
  • Strong interpersonal and communication skills
  • Ability to work in a fast pace high volume environment
  • Ability to handle matters with sensitivity and confidentiality is a must!
  • Bachelor’s degree preferred
