About The Position

As financial professionals, we help clients combine their values and finances in ways that will enable them to reach their retirement goals. Through a full range of products and services, which may include insurance, annuities, and investments, we’ll help clients create a financial program designed exclusively by our clients. We will work diligently to earn our client’s trust and to keep it. This position requires exceptional interpersonal and organizational skills, and detail-oriented work. Key responsibilities include overall administrative support to Todd Financial Associates, coordinate office related needs, office appearance and supplies management, and supporting client facing staff members. The Office Manager reports to and is employed by Todd Financial Associates.

Requirements

  • High School Diploma or Equivalent minimum
  • Previous administrative/secretarial experience desired
  • Demonstrate customer service orientation/experience required while working in a fast-paced office environment
  • Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
  • Ability to maintain integrity of sensitive/confidential information
  • Ability to foster relationships with existing and new clients

  • As part of Todd Financial Associates'' recruiting/hiring/contracting process, a verification of a candidate's background will be made to complete the hiring/contracting process.
  • In addition, fingerprints will be taken for submission to the Federal Bureau of Investigation for review against nationwide fingerprint records.
  • All persons with access to Wealthscape are deemed Access Persons and are subject to Compliance with the firm’s Code of Ethics which requires all outside brokerage accounts to be maintained at one of the firms designated by TIMI.

Responsibilities

  • Complete beginning of the day/ opening tasks
  • Clean and maintain office appearance / upkeep
  • Serve as primary point of contact for all office maintenance needs, coordinating vendors and service technicians to address needs efficiently
  • Manage office supplies inventory
  • Maintain and update office brochures and disclosures in coordination with compliance
  • Manage incoming and outgoing mail
  • Shared email management
  • Answer reception line and special reservation line as needed
  • Manage office voicemail
  • Meet and greet clients
  • Handle walk-in requests and non-scheduled client requests
  • Handle basic problems with customer accounts in Salesforce
  • Prefill, submit, send, request, scan, copy, and file client documents precisely and promptly
  • Accurate scheduling and calendar control
  • Comprehensive and accurate preparation of client meeting documents
  • Monitor application status reports routinely
  • Accurate record keeping
  • Attend client, business, and fraternal events
  • Participate in business planning projects
  • Participate in weekly staff meetings
  • Assist with coordinating and scheduling client events, workshops, business events, and fraternal events and meetings including set up and RSVP management as needed
  • Other tasks and responsibilities as assigned and needed
  • Completes other miscellaneous tasks as assigned

  • Salary Range of $55,000 - $65,000
