Requirements

  • Bachelor's degree in Business Administration, HR, or equivalent experience in a related field preferred.
  • 3+ years of experience in office management or HR administration.
  • Experience in supporting executive-level staff preferred.
  • Excellent organizational and multitasking abilities.
  • Strong interpersonal and communication skills.
  • Proficiency with office software, including Google Docs and QuickBooks.

Responsibilities

  • Oversee daily office operations, ensuring office functionality and a tidy, organized environment.
  • Manage office supplies and inventory, ordering and replenishing as necessary to maintain stock levels.
  • Coordinate office equipment maintenance and repair needs.
  • Support and facilitate internal meetings, including scheduling, room setup, and minute-taking as needed.
  • Serve as the primary point of contact for vendors, maintenance providers, and building management.
  • Provide day-to-day administrative support to the C-suite, including coordinating schedules and handling correspondence.
  • Assist with payroll processing to ensure timely and accurate employee compensation.
  • Support initiatives involving San Miguel students, including coordination of internships and communication.
  • Serve as a liaison between the C-suite and various departments to streamline communication and project tracking.
  • Support HR processes, including onboarding and employee file maintenance.
  • Assist in recruiting efforts by scheduling interviews and managing applicant tracking.
  • Maintain employee records and ensure compliance with company policies and data protection standards.
  • Help organize and coordinate training sessions and team-building events.
  • Create a positive office atmosphere by promoting a collaborative and inclusive environment.
  • Assist in planning and executing office-wide events and celebrations.
  • Support employee wellness initiatives and encourage open communication within the team.
  • Track and report on office and HR-related metrics, including supply usage and recruitment progress.
  • Maintain an updated database of vendor contacts and HR administration data for reporting purposes.
  • Provide regular updates on office maintenance and HR support activities.
