The Office Manager keeps the office spinning right round by keeping our office up-to-date, informed, and organized! If you're a master of office procedures, we have a great opportunity for you! Our Lamar office in Cheyenne, Wyoming is now hiring a new management team member to help us bring outdoor advertising campaigns to life for brands in Cheyenne, WY and the surrounding areas. The purpose of the Office Manager is to handle all administrative functions and responsibilities as well as maintaining payroll hours, and working closely with Human Resources on company-wide policies and regulations. This position will most likely serve as the sole administrative personnel in the office, but may also supervise one additional employee. Collections/HR/Insurance/Invoicing experience is a plus.

  • Maintain accounts receivables for the company office, including making calls, sending correspondence, updating the ATB (Aged Trial Balance), and communicating with the sales department about past due accounts.
  • Responsible for updating the billing system including client information, accounts, and contracts.
  • Maintain accounts payable for the company office, including processing invoices, recording pertinent information, coding invoices to the correct department, and sending invoices to corporate for payment.
  • Act as a liaison at the local office for corporate Human Resources, assisting in the hiring and affirmative action process, maintaining employee information, and assisting employees with benefit questions.
  • Provide administrative assistance to all employees at the office, such as assisting the sales department prepare contracts, answering collections questions, and assisting operations employees with payroll.
  • Provide information to corporate departments (Payroll, Human Resources, Credit department, Accounts Payable, Accounts Receivable) as needed.
  • Run errands for the office as needed, such as going to the post office for stamps, sending certified mail, and making deposits.
  • Answer phones, type correspondence, input and research data, log in and order production, take and upload POP photos, and manage social media content.
  • Support Operations with administrative duties such as maintenance of OSHA logs and handling expense reports.
  • Complete any special requests/projects from General Manager, Sales Manager, or Operations Manager.
  • Excellent command of the English language, both written and verbal.
  • Skill in speaking with persons of various social, cultural, economic, and educational backgrounds.
  • Continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Strong work ethic with professionalism, responsibility, and proactivity.
  • Ability to work independently and as a team member.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to use fax machine, copiers, scanners and binding machines.
  • Ability to handle different challenges each day and adequately prioritize those demands.
  • High School Diploma or Equivalent required; a college degree in Business or related field is preferred.
  • 2 years of experience in an office environment required, or equivalent combination of education and experience.
  • Collections/HR/Insurance/Invoicing experience.
  • A Monday-Friday 8:00am-5:00pm work schedule.
  • Hourly range of $20 - $21/hour dependent on relevant experience and qualifications.
