About The Position

To facilitate the efficient operation of the department by performing a variety of secretarial and clerical duties.

Requirements

  • High school diploma or equivalency.
  • Two or more years of general office experience.
  • Ability to read and communicate effectively in English.
  • Excellent verbal/written/communication skills.
  • Computer knowledge and word processing skills
  • Ability to type 55-60 wpm.
  • Proficient in Excel; Power Point; Outlook; Window and other related software

Responsibilities

  • Organizes office operations and procedures, such as clerical, bookkeeping, preparation of payroll correspondence, filing, requisition of supplies and other clerical services.
  • Assisting the Surgeons, Residents, PA and Medical Students with on-boarding, credentials, meetings, call schedules, evaluations. CME and other necessary documentation,
  • Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  • Acts as receptionist for visitors to the office.
  • Answers phone and keep records of all calls, ensuring that surgical consultations and requests for assistance in the OR are tended to. Provides general information about services of the department.
  • Arrange patients’ appointments, pre-authorizations and transportation to and from the hospital.
  • Records and tracks department information and data on the computer and organizes department files.
  • Prepare reports for the Department Head as requested.
  • Orders office and surgical supplies and materials and equipment as needed.
  • Assists Department Head with routine and complex schedule.
  • Develops and implements orientation and in-service programs for department employees.
  • Maintains personnel records.
  • Verifies and approves payroll ensuring accuracy and follows up on payroll issues.
  • Handles all outgoing and interoffice mail for the department, as well as electronic mail for the department head.
  • Participate in the development of new programs. Implements and evaluates new and existing programs.
  • Helps develop and implement department policies and procedures.
  • Types protocols and committee minutes and prepare presentations and statistical data for conferences and committee meetings.
  • Coordinates and integrates interdepartmental services incorporates the departments services into the institutions management plan.
  • Ensures that channels of communication within the departments, other departments, services, vendors and agencies are maintained as appropriate.
  • Maintains compliance with reviewing regulatory agencies i.e.: hospital, local state, federal agencies and fellowship reviewing agencies.
  • Administers the activities and documentation of the divisions’ CQI program in conjunction with Medical Staff.
  • Make recommendations for and participate in the selection of equipment, maintenance contracts and services not provided by the department.
  • Prepares and monitors departmental operating budgets. Submits a monthly explanation of budget variances.
  • Ensures staff is in compliance with updated credentials, certifications and medical records and employee health requirements.
  • Coordinates efforts to reduce costs while maintaining and improving the quality and provision of services.
  • Prepares, types and submits as requested, various reports. These include, but are not limited to productivity, departmental activities, budgetary and QA reports.
  • Works on special projects as requested.
  • Prepares and submits applications and documentation for Continuing Medical Education activity credits on a monthly basis.
  • Attends continuing education conferences/seminars/personal study to enhance professional skills and to keep abreast of new products, procedures and equipment.
  • Performs other related duties as required.
