About the position

The Office Manager at Tanger Outlets will support all center functions and procedures, ensuring the smooth and efficient facilitation of property management. This role involves managing day-to-day administrative functions, providing executive administrative support, and maintaining an organized office environment. The Office Manager will work closely with the management team, vendors, tenants, and shoppers to deliver best-in-class experiences while demonstrating integrity and exceptional problem-solving skills.

Responsibilities

  • Develop and implement office policies and procedures, identifying opportunities for improvement.
  • Manage day-to-day administrative functions and maintain an organized office environment.
  • Provide administrative support to the management team, including calendar management and meeting coordination.
  • Oversee the proper functioning of office equipment and liaise with IT support for technical issues.
  • Create and maintain an onsite filing system for documents and records adhering to data protection regulations.
  • Handle incoming calls, emails, and mail promptly and professionally.
  • Oversee cash and credit card handling functions in accordance with company policies.
  • Coordinate and prioritize tasks such as correspondence, scheduling, and data entry.
  • Manage Tanger Ambassador staff and ensure adherence to company policies.
  • Provide leadership for improvement plans for underperforming employees and recognize high performers.
  • Own recruiting, onboarding, and training staff for various campaigns and events.
  • Collaborate with accounts payable department and oversee property level accounts payable/accounts receivable.
  • Manage orders for consumable inventory in alignment with property expense budgets.
  • Support the management team with budgeting processes and track expenses.
  • Oversee administrative leasing, operations, and marketing tasks across multiple databases.
  • Conduct property walks/inspections and report findings to Property Management.
  • Act as a primary point of contact for vendors, contractors, retailers, and shoppers.
  • Support leasing efforts by managing suite photo database and showing vacant spaces.
  • Research and vet vendors for SOX compliant bidding processes.
  • Facilitate vendor relations and communicate information between vendors and Operations Director.
  • Support Marketing Director with activations and promotions, including Proof of Performance photos.
  • Collaborate with the team for meetings, marketing events, and community outreach.
  • Assist in the management and auditing of external marketing communication platforms.
  • Cultivate strong relationships with retail partners and communicate through various channels.
  • Create effective processes and procedures for Emergency Notification Systems and Crisis Management files.
  • Process property incident reports for internal communication.
  • Manage life safety reporting of direct reports during crisis situations.
  • Serve as Manager on Duty as required, leading crisis management processes.
  • Assist Management team with special projects or other duties as needed.

Requirements

  • High school diploma or GED required; Bachelor's degree preferred.
  • 2-5 years of experience in administrative and/or executive support level work.
  • 1-2 years of supervisory experience required.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
  • Strong communication skills, both verbal and written.
  • Ability to manage multiple high-level projects with changing deadlines.
  • Experience in basic accounting principles and financial record maintenance.

Nice-to-haves
