About The Position

The Office Manager / Rental Coordinator is responsible for overseeing daily office operations while coordinating vehicle rental activities to ensure efficient scheduling, accurate documentation, and exceptional customer support. This role serves as a key point of contact for internal teams and external customers, supporting administrative functions, rental logistics, and operational organization for Vantage Mobility. The essential functions listed below represent the primary duties of the position. Duties may vary based on assignment and business needs.

Requirements

  • High school diploma or equivalent required
  • Relevant administrative, office management, rental coordination, or customer service experience in a professional, production, or service-based environment
  • Strong organizational, communication, and customer service skills
  • Valid driver’s license and ability to meet company driving requirements, if applicable
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong attention to detail and accuracy in documentation and recordkeeping
  • Proficiency with Microsoft Office and office management or scheduling systems
  • Effective interpersonal, written, and verbal communication skills

Nice To Haves

  • Associate or bachelor’s degree preferred, or equivalent combination of education and experience
  • Experience coordinating rentals, logistics, fleet, or scheduling operations
  • Familiarity with invoicing, billing, or basic accounting processes
  • Experience working in the mobility, transportation, or automotive industry

Responsibilities

  • Manage day-to-day office operations, including administrative support, recordkeeping, and coordination of office activities
  • Coordinate vehicle rental scheduling, availability, documentation, and customer communications
  • Process rental agreements, invoices, payments, and related documentation accurately and timely
  • Serve as a primary point of contact for customers regarding rental inquiries, scheduling, and issue resolution
  • Maintain organized records for rentals, vehicle status, contracts, and compliance documentation
  • Coordinate with internal departments to ensure vehicle readiness, delivery, and return processes
  • Support reporting related to rentals, utilization, and office operations
