About The Position

The Office Manager/ Receptionist serves as the welcoming face of Adams Group while providing essential administrative support to the Chief People Officer and broader HR team. This dual-role position combines front-office hospitality with behind-the-scenes organizational management, requiring someone who thrives in a dynamic environment and takes pride in creating exceptional experiences for employees, visitors, and partners.

Requirements

  • High school diploma or equivalent; Associate degree preferred
  • 3+ years of experience in receptionist, office management, or administrative support roles
  • Exceptional interpersonal skills with ability to interact professionally with all organizational levels
  • Strong organizational abilities with keen attention to detail and follow-through
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Excellent written and verbal communication skills
  • Ability to handle multiple priorities simultaneously in a fast-paced environment
  • Professional discretion and ability to maintain confidentiality
  • Problem-solving mindset with resourcefulness and initiative

Responsibilities

  • Greet all visitors, vendors, and guests with warmth and professionalism, embodying Adams Group's values from first impression
  • Manage front desk operations including answering multi-line phone system, directing calls, and taking accurate messages
  • Coordinate visitor logistics including scheduling conference rooms, arranging catering, preparing visitor badges, and ensuring seamless check-in/check-out processes
  • Maintain reception area appearance and ambiance, ensuring it reflects Adams Group's commitment to quality
  • Monitor and manage incoming/outgoing mail, packages, and courier services
  • Serve as primary point of contact for facility-related questions and building access
  • Oversee office supply inventory, vendor relationships, and purchasing within established budget
  • Coordinate maintenance requests and liaise with landlord, building management, and service providers
  • Manage conference room calendars, technology setup, and catering arrangements for meetings
  • Support facility projects as needed (e.g., space planning, office moves, renovation coordination)
  • Maintain kitchen and common areas, ensuring cleanliness and adequate supplies
  • Coordinate company events, celebrations, and recognition activities aligned with Adams Group values
  • Manage relationships with operational support partners (cleaning services, office equipment vendors, etc.)
  • Assist with candidate experience during recruitment, including interview scheduling, greeting candidates, and coordinating logistics
  • Prepare materials for new hire orientations and employee events
  • Maintain confidentiality regarding sensitive HR matters and employee information
  • Support HR team with document preparation, filing, and general administrative tasks
  • Coordinate employee recognition programs and values-based acknowledgments
  • Assist with employee engagement initiatives and communications
