About The Position

Office Manager II is responsible for providing support and assistance to Health Information Management, Hospital Coding and Ambulatory Coding directors for optimal administration of departmental requirements. Under the direct supervision of departments Directors, responsible for assigned scheduled hours on a full-time basis. This position manages day-to-day activities to ensure the department is running efficiently and meets the expectations and needs of customers and staff. Great communication and customer service is a must. Employee is subject to call back and overtime as required by the hospital. ESSENTIAL JOB FUNCTIONS: Performs technical and complex secretarial and clerical duties involving the use of independent judgment and an understanding of hospital functions and procedures. Answers and routes departmental telephone calls, faxes and other communication as need. Directs customer service and supports the department’s functions. Assists in performing all tasks necessary to achieve the departments and organization’s mission. Coordinates with System Ops Manager for release of information follow-up. Manages supplies, software, reports and contracts. Serves as liaison to other team members, including interacting with managers of different areas of the organization, presenting findings to direct manager as well as training and conducting process improvement efforts. Responds to client and vendor complaints in an appropriate manner forwarding concerns to appropriate department Director. Performs data collection and date entry. Assists with committees as needed by taking minutes at monthly meeting, sends notifications to committee members monthly for review and maintains files. Operates standard office machines and equipment including computer, printers, copiers, calculator, and fax machine. Contributes to a positive work climate and the overall team effort of the department. Presents self in a professional manner. Assists in special projects as assigned by the department Directors. Sorts and distributes departmental mail on a daily basis. Maintains and updates departmental manuals, policies, procedures, job descriptions and other related files Assists with special projects as assigned. Submits various work orders for departmental repairs and maintenance Helps with planning HIM events and coordinating them Performs related responsibilities as required or directed.

Requirements

  • High School graduate
  • 2 – 3 years medical field experience is preferred.
  • Excellent computer skills (Internet software, excel, word processing etc.)
  • Proven communication and great customer service experience is a must.
  • Demonstrated problem-solving and work flow skills.
  • Excellent organizational skills
  • Ability to manage tasks in a timely manner and efficient manner with minimal supervision

Nice To Haves

  • Two years of post-secondary education, vocational training or equivalent experience preferred
