Our Owings Mills, MD office has an exciting opportunity for an Office Manager - Construction. The Office Manager oversees daily administrative operations of the construction office to ensure efficiency, organization, and compliance with company policies and project requirements. This role supports project management, accounting, procurement, and field operations teams by coordinating office activities, managing documentation, and maintaining effective communication between the office, field staff, clients, and subcontractors.

Requirements

  • Education: Associate's or Bachelor's degree in Business Administration, Construction Management, or related field (preferred).
  • Experience: 3-5 years of administrative or office management experience in the construction industry required.
  • Skills: - Strong organizational and multitasking abilities. - Excellent communication (written and verbal) and interpersonal skills. - Proficiency in Microsoft Office Suite and construction management software (e.g., Procore, Bluebeam, CMiC, or similar). - Understanding of construction terminology and documentation. - Detail-oriented and proactive in problem-solving.

Responsibilities

  • Oversee general office operations including scheduling, correspondence, filing, and supplies management.
  • Serve as the primary point of contact for internal and external communications.
  • Maintain company records, licenses, contracts, and insurance certificates.
  • Manage office budgets, expense tracking, and purchase orders.
  • Support project teams with submittals, RFIs, transmittals, and project documentation in accordance with company and client standards.
  • Maintain electronic and hard copy filing systems for project documentation.
  • Assist in preparing bid packages, project closeout documents, and change order requests.
  • Track and distribute meeting minutes, correspondence, and project reports.
  • Assist with payroll processing, timesheets, and invoice tracking.
  • Coordinate with accounting on vendor invoices, expense reports, and job cost tracking.
  • Support contract administration and ensure compliance with insurance and bonding requirements.
  • Coordinate travel arrangements, training sessions, and company meetings.
  • Facilitate communication between office and field teams.
  • Greet and assist visitors, clients, and vendors professionally.
  • Assist management with HR-related administrative functions such as onboarding and maintaining personnel records.
  • Ensure compliance with company safety policies and procedures.
  • Maintain and track safety documentation, certifications, and training logs.
  • Support audits and reporting for local, state, and federal compliance requirements.
