The Office Manager/Bookkeeper will play a crucial role in maintaining efficient office operations and managing financial records for a plumbing and HVAC services company. This position involves overseeing daily administrative tasks, managing accounts payable and payroll processes, and supporting the CPA during year-end activities. The ideal candidate will leverage their skills in QuickBooks and bookkeeping to enhance productivity and ensure a well-organized office environment.

  • Responsible for all accounting activities utilizing QuickBooks and ServiceTitan.
  • Manage payroll, accounts receivable, and accounts payable processes.
  • Support CPA at year-end for financial reporting.
  • Delegate duties to office staff and manage internal staff relations.
  • Organize, communicate, and implement office procedures and policies.
  • Act as benefits coordinator for medical, dental, 401k, and Workman's Comp.
  • Support service dispatch when necessary and manage incoming calls.
  • Create and maintain databases for customer information and prepare reports.
  • Monitor and maintain inventory of supplies and materials.
  • Handle incoming invoices and track company spending.
  • Create new ways to improve customer service among representatives.
  • Perform general clerical functions such as scheduling, data entry, and filing.
  • Prepare payroll and bookkeeping tasks as needed.
  • Monitor multiple databases to track company inventory and apprenticeship programs.
  • 1 year of experience with Microsoft Office.
  • 3 years of administrative experience.
  • Experience in bookkeeping and office management.
  • Proficiency in QuickBooks and ServiceTitan.
  • Strong communication skills and ability to manage vendor relations.
  • Experience in medical office management is preferred.
  • Associate's degree in a relevant field.
