The Harvard Cooperative Society (The Coop) is seeking an organized and detail-oriented Administrative Assistant to join our team. This position is crucial for managing office operations and assisting with various financial tasks and strategic initiatives. The Coop, established in 1882, is the oldest and largest bookstore in the country, deeply rooted in the Harvard and MIT communities. As a cooperative, it is owned by its members and open to all, providing a unique opportunity to engage with a vibrant community. The Coop is committed to fostering an inspiring environment that enhances the experience of students, faculty, alumni, and visitors. This role will be onsite in Harvard Square, Cambridge, MA, and offers a chance to make a significant impact on the community. In this role, you will be responsible for coordinating logistics for board meetings, including venue arrangements, catering, and technology setup. You will assist with scheduling meetings, appointments, and events for the CEO and senior management, providing support for the Board of Director meetings, including scheduling and preparing materials. Additionally, you will maintain organized and efficient filing systems for documents, respond to Coop member inquiries, and ensure that office supplies are sufficiently stocked at all times. You will also manage data related to community engagement and administrative functions, ensuring data accuracy and confidentiality. Financially, you will batch daily deposits in NetSuite, manage accounts payable and receivable, process disbursements, and support sales analysis and reporting. This position requires strong organizational and multitasking skills, excellent communication abilities, and proficiency in Microsoft Office Suite.
