About The Position

The Office Manager/ACD at Sinte Gleska University is responsible for providing comprehensive administrative support to ensure efficient office operations within the Administrative Department. Requirements

  • AA degree in secretarial science or a related field preferred.
  • Experience in answering telephones and managing communication.
  • Excellent organizational, filing, and typing skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Exceptional written and verbal communication skills.
  • Ability to work independently and cooperatively with staff and the public.
  • Detail-oriented with strong customer relationship skills.
  • Ability to handle confidential information with discretion.
  • Flexibility to adapt to changing priorities and tasks.
  • Reliable transportation and a valid driver license.

Nice To Haves

  • Experience in an academic or administrative setting.

Responsibilities

  • Act as the receptionist for the Administrative Building, answering phone calls and directing callers appropriately.
  • Assist with the Mitel telephone system for moves, changes, and troubleshooting.
  • Handle institutional mail, including sorting and preparing outgoing packages.
  • Serve as the key operator for copy machines and manage office equipment operations.
  • Manage monthly charges for copy machine and postage for different departments.
  • Assist the President and Vice Presidents with daily operations and travel arrangements.
  • Prepare donor deposits and maintain filing systems for accounts payable and cash receipts.
  • Assist in planning and implementing special events.
  • Draft and edit letters, reports, and other documents as needed.
  • Input and update information in databases and spreadsheets.
  • Prepare meeting agendas and record meeting notes in collaboration with leadership.
  • Ensure the office premises are clean, safe, and well-maintained.
  • Work with vendors to maintain office equipment and supplies.
