About The Position

The ideal candidate will be a proactive self-starter who takes initiative and drives results. The candidate will be responsible for providing high-level office management support and accounting services for the Executive Director, Authority Managers, and the Board of Directors. This role is critical in ensuring the smooth and efficient operation of the 911 Authority.

Requirements

  • Management and supervisory principles, techniques, and best practices for employee development and effective team leadership.
  • Principles and procedures for accurate and secure record keeping and information management.
  • Advanced accounting principles and financial practices.
  • Financial reconciliation methods, including reviewing and balancing accounts for accuracy and compliance.
  • QuickBooks and Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and MS Projects.
  • Apply critical thinking, logic, and sound reasoning to assess complex situations and identify effective solutions, conclusions, or courses of action.
  • Maintain a high level of confidentiality and discretion when handling sensitive records, communications, and information.
  • Effectively manage and prioritize multiple tasks and deadlines in a fast-paced, high-demand environment.
  • Ability to deal effectively with various individuals under stressful situations and perform multiple tasks simultaneously.
  • High school diploma or General Education Development (GED) is required.
  • A bachelor's degree from an accredited college or university with major coursework in business, finance, accounting, human resources, or another related field is required.
  • Six (6) years of responsible administrative and/or financial experience required.
  • Must pass a driving record (M.V.R), drug screen, reference, and criminal history background check before starting employment.

Responsibilities

  • Serve as a key member of the Authority management team.
  • Provide supervision and guidance to the Front Desk Receptionist position.
  • Ensure all legal and regulatory documents are filed; monitor compliance with applicable laws, statutes, and regulations.
  • Prepare agendas, resolutions, and other supporting materials for Board meetings; record official meeting minutes and coordinate follow-up on action items.
  • Perform comprehensive financial administration, including expenditures, invoicing, deposits, purchase orders, payments, budget development, and financial reporting.
  • Manage the reconciliation process of Authority credit cards and company bank accounts.
  • Collaborate with the Authority accountant to prepare monthly financial statements as well as the annual audit.
  • Serve as a liaison between Authority staff and the City of Colorado Springs payroll.
  • Perform various administrative support tasks.
  • In the absence of the Front Desk Receptionist, assist and direct visitors and callers; address complaints or route them to the appropriate party for a resolution.
  • Perform all other related duties as required by management.
  • Stay updated on industry trends and new techniques and technologies.
