About The Position

MLS Productions (the media and broadcast production arm of the league) has recently moved to WWE Headquarters in Stamford, CT as part of the extended partnership with Apple, IMG, WWE, and NEP. The Studios at WWE feature best-in-class production offerings and new cutting-edge technology to further elevate the production of MLS Season Pass. It will serve as the dynamic hub for popular MLS live studio programming and content in English and Spanish. The new location for MLS Productions will advance its capabilities, create efficiencies, broaden content offerings, and centralize its broadcast content and graphics. The Office & Facilities Administrator is responsible for maintaining the MLS Productions office space located in Stamford, CT. As the first point of contact, this role will be a liaison between employees, building management, and other vendors. This role will be central to building relationships across our studio production teams and acting as the main onsite Facilities point of contact. Other duties include but are not limited to overseeing mail, shipping, receiving, client deliveries, meeting and conference room set up/clean up, and handling general office services and repairs.

Requirements

  • 1+ years of experience in office services/facility assistant at a mid-sized company
  • Detail-oriented with the ability to multi-task and meet deadlines with minimal supervision
  • Effective interpersonal and relationship building skills
  • Strong customer service and interpersonal skills, with the ability to effectively communicate, both verbally and in writing
  • Ability to work autonomously and effectively in a fast-paced environment
  • Superior organization and attention to detail
  • High level of commitment to quality work product and organizational ethics, integrity and compliance
  • Demonstrated decision making and problem-solving skills
  • Proficiency in Word, Excel, and Outlook
  • Able to lift up to 40 lbs
  • Ability to work non-traditional hours, including evenings, weekends, and holidays

Responsibilities

  • Manage and input all staff requests that are generated through the facilities work order system for the MLS Productions office
  • Assist with various administrative and facilities projects on both a continuous and ad hoc basis as assigned and requested by the Facilities manager and MLS Productions team including MLS, IMG, AE Live, and Apple
  • Update all vendor certificates of insurance by ensuring information is updated and compliant with building requirements
  • Schedule and assist with WWE facilities team as needed to provide required services
  • Prepare all workstations for onboarding, offboarding, and desk moves for employees, onsite assigned seats, consultants, etc.
  • Coordinate and manage new employees, replacement of security ID badges with WWE
  • Work cross-functionally in coordinating department moves with IT
  • Coordinate with the League Office to support company-related events
  • Complete daily walkthroughs of MLS Productions office and studio space to ensure the office/studio is in pristine condition and proactively address urgent and maintenance matters
  • Process incoming packages and delivery on a daily basis
  • Assist with conference room set up/break down, as well as providing beverages/snacks as requested for meetings
  • Review and manage pantry supplies weekly
  • Restock pantries and copy areas on a daily basis to make sure they are well stocked
  • Communicate and coordinate with MLS Facilities management if there are additional building services needed, including services needed from WWE
  • Office liaison with the WWE Fire Warden teams and participate in building Fire & Safety meetings
