About The Position

The Workplace & Events Manager owns the day-to-day and long-term operations of Pano’s HQ, ensuring the office is a welcoming experience for the team, customers and visitors. This role is central to continually improving and elevating the workplace to be a vibrant hub that fosters connection, helps build company culture, and visually reinforces the Pano AI brand and mission (e.g., related to our wildfire focus). This role combines office management with hospitality, logistics, and event support and ensures all of those runs smoothly, safely, and intentionally as the company grows. The role requires a consistent in-office presence of at least four days per week (M-Th), 9 a.m. to 5 p.m., to deliver the best possible office experience. You’ll be trusted to make real-time decisions, improve systems that don’t scale yet, and create an environment where teams can focus on high-impact work without friction.

Requirements

  • 5+ years of experience in workplace operations, office management, events, or related roles
  • Comfortable operating independently in a highly visible, on-site role
  • Experience managing vendors, budgets, and competing priorities
  • A proactive, continuous improvement mindset, with the ability to balance hands-on execution with strategic process enhancement and office experience elevation.
  • Clear, reliable communication and follow-through
  • A natural inclination for fostering positive company culture and cross-team relationships.
  • Ability to make thoughtful judgment calls when issues arise, balancing urgency, cost, safety, and impact
  • Calm, steady presence when plans change or things go wrong
  • Strong organizational skills with the ability to manage multiple priorities
  • Proficiency with Google Workspace, Slack, and modern office management tools
  • Ability to handle sensitive information with discretion and professionalism
  • Ability to lift and move up to 25 pounds

Responsibilities

  • Own the day-to-day operation of Pano’s HQ, serving as the primary on-site point person and decision-maker
  • Manage daily office operations including supplies, mail, deliveries, and space upkeep
  • Manage facilities, vendors, office services, and shared spaces with a strong eye for reliability and employee experience. Proactively identify issues and opportunities to enhance the office environment (e.g., ambiance, decor, temperature comfort) by regularly engaging with employees to get a pulse on what's working and where improvements can be made.
  • Plan and execute events and logistics for team lunches, all-hands, company-wide and team offsites, team on-sites, onsite meetings, visiting customers, and vendors. Help build and foster company culture through office programming and events that facilitate connections between employees across different teams.
  • Partner closely with People, IT, Finance, and leaders on the candidate and new hire office experience, workplace needs, events, and budget
  • Build and improve workplace systems and processes with scalability and efficiency in mind
