About the position

The Office Coordinator at Sparksoft Corporation plays a crucial role in ensuring the smooth operation of the office environment. This position involves providing support to the front desk, maintaining office organization, coordinating corporate events, and assisting the executive team. The Office Coordinator is expected to be proactive, detail-oriented, and capable of handling multiple tasks while maintaining professionalism and confidentiality.

Responsibilities

  • Provide backup to the front desk receptionist when needed, including answering the main phone line and forwarding/screening calls.
  • Maintain the upkeep of the general office environment, including cleaning and organizing breakrooms and restocking inventory.
  • Support corporate functions such as purchasing and organizing company events from start to finish.
  • Schedule and negotiate repairs with outside vendors for building and office equipment.
  • Perform basic office maintenance functions, such as replacing water filters and hanging corkboards.
  • Maintain security by complying with corporate procedures, rules, and regulations.
  • Document and communicate actions, irregularities, and continuing needs to support continuity among work teams.
  • Work directly with the Facilities Manager to organize and run corporate events of various sizes.
  • Provide timely updates to the Facilities Manager regarding project status, budget, and scheduling with vendors.
  • Support the executive team by running errands and addressing requests.
  • Maintain confidentiality of corporate information.
  • Record all vendor repairs and security incidents within the in-house ticketing system.
  • Prepare for and schedule safety inspections, training, or audits as needed.
  • Support IT and facilities functions, including badge photo taking and shipping equipment.
  • Provide flexible working hours to support corporate needs.

Requirements

  • Strong telephone skills and consistently punctual.
  • Excellent verbal and written communication skills.
  • Professional appearance and demeanor.
  • Highly organized and detail-oriented.
  • Schedule flexibility to work after 5pm for corporate events, occurring on average twice a month.
  • Ability to multi-task and disseminate information effectively.
  • Physically able to lift more than 50lbs.
  • Ability to work well under pressure and in both team and independent environments.
  • Experience with basic office equipment, including scanners and copiers.

Nice-to-haves

  • Previous experience with Microsoft Office software.
  • CPR, AED, first aid certification or willingness to obtain.
  • Familiarity with phone systems.
  • Event planning experience.
  • Supply management experience.
