The Occupational Health Office Coordinator (OC) plays a crucial role in supporting the administrative operations of the Occupational Health Clinic. This position involves managing patient scheduling, providing front-desk coverage, and ensuring the efficient handling of clinical data and workflows related to Occupational Health and Workers' Compensation. The OC is expected to work collaboratively with clinical and administrative staff while maintaining a high standard of customer service and adhering to HIPAA guidelines.

  • Answers telephone calls and manages correspondence via email and fax.
  • Maintains health records, including electronic filing and scanning documents into databases.
  • Enters data and retrieves information from multiple databases, including electronic health records and PeopleSoft.
  • Follows HIPAA guidelines for patient privacy and confidentiality.
  • Greets, checks-in, and assists customers with professionalism.
  • Makes appointments as requested by customers and staff.
  • Contacts customers for follow-up appointments after vaccinations or lab work results.
  • Communicates messages to clinical staff accurately and timely.
  • Supports new hire activities at an Enterprise level as needed.
  • Meets deadlines and follows through on assigned projects.
  • Supports administrative activities related to Workers' Compensation as directed.
  • Strong computer skills with knowledge of Word, Excel, and Outlook.
  • Ability to work independently and manage multiple priorities.
  • Effective communication skills and excellent customer service skills.
  • Detail-oriented with the ability to function under pressure.
  • Knowledge of Epic and other electronic clinical systems is a plus.
  • At least one year of experience in administrative services is strongly preferred.
  • High school diploma required; Associate's degree preferred.
  • Strong interpersonal skills to communicate with cross-functional teams.
