Requirements

  • 5+ years of secretarial, administrative, or office management experience.
  • Strong communication, customer service, and interpersonal skills.
  • Proficiency with word processing, spreadsheets, databases, and presentation software.
  • Ability to multitask, prioritize, and remain calm under pressure in a fast‑paced, team‑oriented environment.

Responsibilities

  • Coordinate office projects and ensure optimal use of equipment, supplies, and staff.
  • Assign, prioritize, and review work for team members across core office functions.
  • Maintain office equipment, manage inventory, and oversee facility needs.
  • Provide onboarding and orientation to new department employees—including systems, phone procedures, policies, and customer service expectations.
  • Deliver ongoing training and ensure staff complete required educational programs.
  • Manage scheduling tasks and monitor time/payroll reports.
  • Prepare complex financial, statistical, and personnel reports.
  • Draft correspondence, presentations, meeting minutes, and invoices.
  • Organize meetings, conferences, travel arrangements, and expense reports.
  • Independently resolve day‑to‑day office issues and collaborate with leadership on more complex situations.
  • Contribute ideas to improve departmental processes, policies, and goals.
