About The Position

Highland Hills Medical Associates seeks a Clinic Office Coordinator. This is a full-time, weekday position with benefits. Position Summary: The Office Coordinator plays a vital role in ensuring the smooth daily operation of the primary care clinic by supporting both clinical and administrative functions. This position is responsible for facilitating patient care processes such as prior authorizations, referrals, phone triage, and the return of test and imaging results. The Office Coordinator also assists the Clinic Practice Administrator in overseeing front- and back-office workflows and supports efforts to optimize patient flow, staff efficiency, and quality of care.

Requirements

  • High school diploma or equivalent
  • Minimum of 2 years of clinical experience in a primary care or outpatient setting preferred.
  • Strong clinical judgment and communication skills.
  • Ability to multitask, prioritize responsibilities, and adapt to a fast-paced environment.
  • Proficiency in electronic health records (EHR) and common office software.

Nice To Haves

  • Prior experience with referrals, authorizations, or care coordination strongly preferred.
  • Demonstrated leadership abilities and team collaboration.

Responsibilities

  • Manage and complete prior authorizations for medications, diagnostic testing, and specialist visits.
  • Process and track patient referrals, ensuring timely follow-up and communication with outside providers.
  • Triage patient calls, assess symptoms based on nursing scope of practice, and provide appropriate advice or direction.
  • Ensure timely communication and return of lab, imaging, and other test results to patients per provider orders.
  • Serve as a liaison between clinical staff and administrative leadership to coordinate daily office operations.
  • Assist with provider schedules and ensure adequate clinic coverage.
  • Collaborate with the Clinic Practice Administrator on performance improvement initiatives, patient satisfaction, and staff development.
  • Maintain compliance with clinical and administrative policies, including documentation, HIPAA, and quality standards.
  • Support clinical staff as needed in patient rooms, documentation, or task completion.
  • Act as a point of contact for workflow or operational concerns during clinic hours.
  • Participate in staff meetings, training, and quality assurance reviews.
