We’re looking for a warm, organized, and hospitality-minded Office Coordinator to be the welcoming face of RallyX. This person will manage daily office operations, supports meetings and hospitality for events, and help provide administrative assistance to key leadership team. The ideal candidate is organized, people-oriented, and gifted in hospitality, thriving in a fast-paced and purpose-driven environment.

  • Greet and assist employees, clients, and guests with professionalism and genuine warmth.
  • Manage front desk operations, including mail, deliveries, and maintaining a tidy, welcoming workspace.
  • Coordinate office supplies, vendors, and daily logistics to keep the office running efficiently.
  • Support the Executive Assistant and leadership team with administrative tasks, document preparation, and communications.
  • Support meetings and company events—schedule, set up, order catering, and ensure a great experience for all.
  • Provide administrative support to the Executive Assistant and leadership team.
  • Assist with employee engagement activities and company culture events.
  • Handle other administrative or special projects as needed.
  • 1–4 years of experience in office coordination, administration, or hospitality.
  • Strong communication and interpersonal skills with a customer-service mindset.
  • Excellent organization and time management skills—you’re the person who keeps things on track.
  • Proficiency in Microsoft Office Suite (experience with Basecamp or similar tools is a plus).
  • Professional, reliable, and always discreet with sensitive information.
