Requirements

  • High school diploma or equivalent preferred.
  • Combination of education and relevant work experience may be accepted.
  • CPR and CPI certified within 30 days of employment.
  • May be required to work flexible hours and overtime.

Nice To Haves

  • Previous clerical and customer service experience preferred.

Responsibilities

  • Monitor and complete audits related to patient care tracking and manage all aspects of the admission process, including pre ‑ admission paperwork and charge reconciliation.
  • Track and collect required assessments and surveys (e.g., BASIS ‑ 32/CABA and patient satisfaction surveys) and maintain supplies of therapeutic tools and program materials.
  • Coordinate patient group assignments, maintain program schedules, and support clinicians with scheduling and materials.
  • Maintain staff schedules, ensure appropriate coverage, monitor attendance, and oversee non ‑ clinical staff performance.
  • Provide courteous customer service to patients, families, referral sources, and stakeholders and conduct appointment reminder calls.
  • Capture vital signs and urine drug screens as needed and complete reporting such as DCAR in a timely manner.
  • Organize and file paperwork, audit charts for compliance, and communicate with treatment teams to resolve deficiencies.
  • Manage family session schedules, work with the business office and utilization review to obtain pre ‑ certifications and ensure payment for services, and develop relationships with payer sources and referral agencies.
  • Schedule clinical assessments and ensure necessary orders are obtained, assist with discharge planning and follow ‑ up appointments, and cross ‑ train in other outpatient functions such as patient care assistance, transportation, and financial counseling.
  • Collect copays and deductibles, manage organizational tools including bed boards, group room assignments, and treatment team schedules, and perform other duties as assigned.
