The Community Care Clinic (CCC) is located at 132 Jefferson St on the third floor of the Hartford Hospital Community Health building of Hartford Hospital. CCC clinic has close to 3,000 patient visits annually with an average of 50 patients per day. The Division of Infectious Diseases provides inpatient and outpatient consultation regarding the diagnosis and management of all types of infectious diseases. The service is supported by outstanding clinical diagnostics laboratories, which provide state-of-the-art techniques for rapid diagnosis of infectious diseases. Our staff of providers, Psychiatry, fellows, Psych Residents, social worker, Nutritionist, Pharmacy Liaison, APRNs, RNs, MA/MAAs, a Case Manager and a Data Manager who provides compassionate care, excellence in teaching and investigations in clinical and laboratory research. CCC is Ryan White funded. 75% are bilingual with Spanish being their primary language. 80% of our patients have Health coverage under Medicaid. Our specialists are skilled at treating many infectious condition, including\: Conditions such as HIV infection, Hepatitis, fever of unknown origin, recurrent infections or rashes of unknown type or origin, Influenza, Opportunistic infections in patients who are immunosuppressed due to acquired or congenital immunodeficiency, transplant or other medical condition. CCC guides patients through the health system, including appropriate referrals for services to other health professionals. Job Summary: The Office Coordinator is responsible for managing the daily operations of the practice and performing a variety of administrative functions related to the daily operations of the practice.

Requirements

  • Relevant experience in a fast-paced medical office highly preferred.
  • Previous management/supervisory or leadership experience preferred
  • Strong communications skills and experience in a leading role required
  • Ability to improve quality and productivity by identifying improvement opportunities
  • Knowledge of computer systems\: Microsoft Office, Excel, EPIC.
  • Knowledge of medical coding preferred i.e\: CPT and ICD10 coding
  • Excellent communication skills.
  • Must be able to multitask, possess outstanding communication and follow up skills

Responsibilities

  • Supervises the administrative and clinical staff and practice operations including scheduling, work flow, service delivery and employee performance.
  • This role supports ambulatory practice operations by optimizing front-end workflows, ensuring accurate billing and coding, and driving continuous improvement initiatives
  • Works closely with Lead Medical Assistant to ensure continuity and optimize workflow.
  • In collaboration with Lead Medical Assistant, maintains and adjust staff schedules to compliment practice provider schedules.
  • Serves as primary resource to office staff on administrative matters including, but not limited to\: patient flow, office operations, customer service, health insurance, billing/coding requirements, and EMR functionality and utilization.
  • The Office Coordinator assists the clinical and medical staff in organizing and triaging care by accurately relaying pertinent patient information, adjusting the patient schedule as needed, scheduling and coordinating urgent care with other resources within practices and releasing health information in accordance with HIPPA requirements.
  • Ensure that all staff members communicate and interact with patients in a courteous, respectful, and businesslike manner.
  • Holds staff accountable for customer service standards; intercedes and takes appropriate action when incidents occur.
  • Interviews candidates and makes hiring decisions in conjunction with the Office and/or Practice Manager.
  • Acts as a liaison regarding daily operations and staff communication.
  • Will field and triage patient complaints with assistance of management as needed.
  • Must be capable and willing to cover administrative front office staff depending on the department’s needs\: scheduling appointments, answering telephones, signing in and discharging patients, copying and faxing
