The Foundation & Community Engagement team serves as the community and philanthropic arm of the New York Mets. Within the department lives the Amazin’ Mets Foundation, which is “committed to providing needed services and opportunities to children, families, and under-served groups in our neighborhoods and communities.” Essential Duties and Responsibilities: The Office Coordinator position is responsible for administrative and office support for the Foundation & Community Engagement team. This position will work closely with the entire Foundation & Community Engagement team to support the work that they do to enhance and build the team’s investment in the surrounding community. The candidate should have experience working in an office environment, performing administrative tasks, and providing support to coworkers. In addition, they should have the ability to multitask, manage complex schedules, and meet changing deadlines.

Requirements

  • Bachelor’s degree or equivalent required
  • 2-3 years of proven work experience in an administrative support role such as an Administrative Assistant, Executive Assistant, Office Coordinator, or similar position
  • Professional demeanor with exceptional organizational, planning and communication skills to develop and maintain relationships with internal colleagues and external partners
  • Strong attention to detail and ability to structure work efficiently
  • Excellent verbal and written communication skills; including ability to communicate with a variety of constituent groups such as senior management, peers, and outside contacts
  • Adept at multitasking with ability to prioritize and handle competing priorities at any given time while maintaining commitment to deadlines
  • Curious and forward-thinking, with strong research skills and willingness to adopt AI tools to enhance productivity and improve workflows
  • Must have knowledge and proficiency in Microsoft Office and an ability to navigate technology, including knowledge of Workday Management System.

Nice To Haves

  • Knowledge of Salesforce, Canva, and Asana a plus
  • Knowledge of non-profit landscape is a plus

Responsibilities

  • Provide administrative and logistical/event support for the department staff
  • Manage Amazin’ Mets Foundation and Community email inboxes and Community phone line, ensuring timely follow-up, resolution, or referral to the appropriate stakeholder
  • Coordinate team schedules, meetings, conference room bookings, and connectivity to the broader Mets organization and external partners
  • Receive, organize and catalog incoming mail; facilitate outgoing shipments and mail packages for department staff
  • Coordinate travel plans and schedules for managers and team members and process expense reports
  • Arrange in-kind and material donations to community groups and provide administrative support for the Mets ticket donation initiatives
  • Assist with responding to team tech or facility related issues and other miscellaneous items
  • Handle document formatting, copying, filing, and management of email and written communications as needed
  • Organize and prepare for meetings, including gathering materials, creating and distributing meeting agendas and documents, and managing meeting logistics
  • Interact professionally with a wide range of individuals, including high-profile contacts and all levels of management
  • Provide administrative event support, such as booking event spaces, preparing event materials, coordinating catering, and event personnel
  • Perform other administrative and office-related duties as assigned
