The Office Coordinator is tasked with creating a welcoming office environment, serving as the initial point of contact for visitors, and ensuring that all office management tasks are executed smoothly. This includes handling standard forms, maintaining office equipment, and participating in staff meetings to prepare and distribute minutes. In addition to office management, the Office Coordinator will coordinate administrative operations, which involve managing phone and mail requests, scheduling appointments, and overseeing student workers. The role also requires the creation and maintenance of filing systems for various operational records, as well as assisting with budget management and vendor communication. The Office Coordinator will provide essential support for various programs and activities, including event coordination, room reservations, and media equipment setup, ensuring that all logistical aspects are handled efficiently. The position also involves project assistance, where the Office Coordinator will support cluster projects and prepare necessary materials. A significant aspect of the role is the management of the Slate CRM and MSI database system, which includes data entry, report generation, and user support. The Office Coordinator must maintain confidentiality in all areas of program personnel and departmental operations, ensuring that sensitive information is handled appropriately. This position is critical in ensuring the integrity and smooth operation of programs sponsored by the Center for Pre-College Programs, directly impacting the success of early college preparatory and dual/concurrent enrollment programs.
