The Office Coordinator position is a part-time role focused on ensuring efficient day-to-day operations within the Medical Imaging of Fredericksburg (MIF) locations. The coordinator is responsible for obtaining and verifying patient insurance information, scheduling appointments, and providing clerical support to enhance patient experience and operational effectiveness.

  • Greets all customers in a courteous and professional manner, addressing their needs efficiently and confidentially.
  • Answers telephones courteously and promptly, screening and transferring calls as appropriate.
  • Assists in handling various patient financial matters.
  • Schedules tests as ordered by physicians using appropriate scheduling software.
  • Maintains documentation necessary for compliance with regulatory requirements, including collecting insurance cards and valid ID.
  • Obtains authorization information from insurance companies as applicable.
  • Monitors scheduling work-lists to ensure timely scheduling and insurance verification.
  • Provides patients and physicians' offices with instructions for pre-procedure preparation.
  • Communicates with insurance companies to determine benefits, required co-pays, and documents pre-authorizations for reimbursement.
  • Maintains an organized work area and monitors patient schedules and workflow for smooth operations.
  • Monitors appropriate reports and maintains knowledge of CPT and ICD-10 codes for accurate order entry.
  • Reconciles daily charges and ensures correct billing information is recorded.
  • Performs closing procedures including tallying daily charges and reconciling credit card transactions.
  • Prepares and maintains CD and film requests, ensuring compliance with HIPAA guidelines.
  • Maintains adequate inventory of supplies and organizes patient records.
  • Distributes final reports of procedures to ordering doctors as appropriate.
  • Acts as a liaison between patients, insurance companies, and physician offices to document necessary approvals for services.
  • Enters pre-authorization documentation into Radiology Management Systems (RMS) for billing accuracy.
  • Reviews pre-authorization denial reports for accuracy in the pre-authorization process.
  • Provides assistance in other areas of the MIF departments as needed.
  • High school diploma or equivalent.
  • Basic computer skills.
  • Strong verbal and written communication skills.
  • Two years of related experience in a call center, patient registration, patient accounts, or patient billing preferred.
  • Experience with third-party insurance, insurance terminology, CPT, and ICD-9 codes preferred.
