About The Position

The Office Coordinator plays a vital role in supporting the East Texas Ready Mix Division at Texas Materials. This position is focused on delivering high levels of customer service while managing various office administration tasks. The Office Coordinator will work independently under the supervisor's guidance, handling front office reception duties, managing inquiries, and ensuring smooth office operations.

Requirements

  • High school diploma generally required
  • Knowledge of administrative and clerical procedures
  • Knowledge of computers and relevant software applications
  • Knowledge of customer service principles and practices
  • Excellent alpha/numeric data entry skills
  • Ability to read and follow written and verbal instructions.

Responsibilities

  • Create daily material sales report and email to corporate accounting
  • Match cash payments and payments by check with order # and make copies
  • Prepare daily deposits
  • Scan and email supporting deposit information
  • Copy, scan, and email A/R checks
  • FedEx A/R checks
  • Process credit card payments and email to corporate accounting
  • Process and verify Sales Tax Exemption documentation
  • Acquire and submit weekly plant site fuel reports to accounting
  • Acquire and submit monthly plant site fuel logs to accounting
  • Assist with monthly and quarterly IFTA / mileage reports
  • Daily review, correction, and submission of Command Priced Orders Report for each plant
  • Company uniform administrative duties
  • Coordinate and assist with corporate HR as needed
  • Schedule appointments
  • Organize conference and meeting room bookings
  • Co-ordinate meetings and organize catering
  • Monitor and maintain office equipment
  • Perform additional assignments per supervisor's direction.
