About The Position

As Office Clerk, you will work collaboratively with the on-site leadership team and program staff at our Redwood City Clubhouse where we provide academic support and enrichment offerings to 9th – 12th grade students. You will provide office, administrative, and logistical support to ensure our program can run in an efficient and safe manner.

Requirements

  • Spanish fluency is required
  • Proficiency in basic computer skills
  • Familiarity with MS Office and Google Workspace
  • Proven experience of administrative work with and excellent knowledge of standard office processes
  • Commitment to BGCP’s mission and vision and working with youth
  • Experience working with diverse youth and communities of color
  • Keen attention to detail and ability to create systems for efficiency and effectiveness
  • Maturity and strong communication skills
  • Energy, leadership skills, strong initiative, ability to motivate through positive reinforcement

Responsibilities

  • Manage the BGCP office and associated operations during program hours
  • Greet, monitor, and track all members and visitors on site, including parents and volunteers
  • Manage student sign-in and sign-out process
  • Answer all phone calls and return messages in a timely manner
  • Manage office, first aid, and program supply inventories
  • Ensure that the office is neat and organized and fosters physical and emotional safety and customer service
  • Create a positive work atmosphere and foster teamwork and constructive exchange of ideas with peers
  • Manage daily snack and lunch processes (if applicable)
  • Participate in planning and executing special events as needed (if applicable)
  • Undertake other duties as assigned
  • Manage site enrollment and daily attendance
  • Enter all enrollment data in Salesforce, BGCP’s database
  • Generate and communicate attendance and membership reports for site leadership staff and to meet ASES reporting requirements
  • Build positive relationships with students in the program
  • Support and maintain BGCP behavior standards and discipline policies
  • Set high expectations for students and demand compliance
  • Supervise youth if asked to, either in the office or as coverage for a classroom instructor
  • Communicate with students and families regarding enrollment and attendance issues
  • Greet and welcome parents into the program on a daily basis
  • Communicate and disperse information about upcoming events and activities to members, families, and the public.
  • Ensure that all information posted and dispersed is up-to-date and accurate.
  • Maintain positive relationships with all staff, students, volunteers, outside partners, as well as all visitors.
