Incumbent serves as Part-time Office/Clerical Staff for the Hamilton County Surveyor, responsible for assisting the Department with clerical work and assisting the public with billing and drainage inquiries.

Requirements

  • High school diploma or HSE.
  • Working knowledge of standard office policies and procedures with computer skills, including word processing, spreadsheet, presentation, email, internet, and Department-specific software systems, and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.
  • Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare correspondence and reports.
  • Ability to file, organize and maintain accurate records.
  • Ability to effectively communicate orally and in writing with co-workers, other County departments, Drainage Board, engineering and construction firms, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.
  • Ability to properly operate standard office equipment, including telephone, computer, printer, scanner, and calculator.
  • Ability to understand, memorize, retain, and carry out written or oral instructions and present findings in oral or written form.
  • Ability to work alone with minimum supervision and with others in a team environment, work on several tasks at the same time, and work rapidly for long periods, occasionally under time pressure.
  • Ability to analyze, read and interpret drain reports.
  • Ability to provide public access to or maintain confidentiality of Department information/records according to state requirements.
  • Shall comply with all employer and Department personnel policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

Responsibilities

  • Answers telephone and greets office visitors, answering questions, providing information and assistance, responding to inquiries, and directing callers to appropriate individuals or departments.
  • Reviews reconstruction reports and billings to assist the public with explanation of drain maintenance and reconstruction asssessments.
  • Processes drainage complaints, including researching fund balance of arms and drain name/number, and creates maps of problem areas for inspectors.
  • Assists public with non-enforcement permits, including ensuring correct name of drain, parcel number and instrument number, enters in tracking system, once approved sends to Recorder.
  • Performs various clerical duties, including processing plans and assigns to Plan Reviewer, picking up and distributing mail, delivering reports to various offices, assisting with Drainage Board meetings such as taking minutes and placing ads for public hearings.
  • Prepares bid work, including putting together bid packets, making copies, placing ad for Notice to Bidders, and mailing notices to bidders.
  • Scans old files, including saving in appropriate files.
  • Performs related duties as assigned.
