About The Position

This is a classification which provides office and administrative support to a healthcare agency requiring operation of office equipment and knowledge of office processes and diverse clerical functions. This job family is distinguished by its contributory role in meeting operational, production, and/or processing needs. This is routine office and administrative support work performing routine, and varied office support tasks. Responsibilities required in prioritizing assignments and selecting the most appropriate course of action within established operating procedures. Agency information: Dorothea Dix Psychiatric Center (DDPC) is a 69-bed psychiatric hospital serving the entire State of Maine that provides services for people with severe mental illness. As a member of a statewide community of care givers, DDPC collaborates with individuals with severe and persistent mental illness, their community and personal supports, to provide recovery-oriented, respectful, compassionate, and effective psychiatric care and treatment in the least restrictive, safest, and most therapeutic environment we can create. The Department of Health and Human Services (DHHS) is dedicated to promoting health, safety, resilience, and opportunity for Maine people. The Department provides health and social services to approximately a third of the State's population, including children, families, older Mainers, and individuals with disabilities, mental illness, and substance use disorders. The Department also promotes public health, operates two state psychiatric hospitals, and provides oversight to health care providers.

Requirements

  • Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex office support tasks that are similar in nature, and 2) the ability to use independent judgment in handling exceptions to established work assignments, priorities, and schedules.
  • All positions in this classification assume the qualifications of: Office Assistant I , and Office Assistant II .

Responsibilities

  • Works with clinical and administrative departments to project staffing needs and achieve required staffing levels.
  • Monitoring staffing levels, call for overtime, cross reference sick, vacation, and unscheduled time off slips and adjust the breakdowns in the moment and as needed.
  • Explain, inform, and/or initiate calls on staffing matters.
