About The Position

This posting will be used to fill a current vacancy in the Code Enforcement Division of the Development Services Department within the City of Oklahoma City. An eligibility list will be established or supplemented for filling future vacancies per provisions of the American Federation of State, County and Municipal Employees (AFSCME) Collective Bargaining Agreement. The Office Assistant is primarily responsible for performing general office procedures, managing records, completing data entry, assisting with special projects, and providing other advanced clerical support to an assigned work section or division. Duties may vary depending on the work section or department.

Requirements

  • Possession of a high school diploma, GED, or equivalent.
  • Knowledge of and skill in applying rules of grammar, spelling, and punctuation.
  • Knowledge of and skill in taking dictation and/or accurately transcribing information manually or with the use of electronic dictation equipment.
  • Skill in operating a personal computer using Microsoft programs such as Word and Excel.
  • Skill in typing accurately and neatly (minimum 45 net words per minute).
  • Skill in communicating with tact and diplomacy.
  • Skill in recording information accurately.
  • Skill in operating standard office equipment.
  • Skill in performing general clerical tasks.
  • Skill in following verbal and written instructions.
  • Ability and willingness to maintain confidentiality.

Responsibilities

  • Performing stenographic work and transcribing information from electronic dictation equipment to produce general office correspondence, including memoranda, reports, minutes, and other informational data.
  • Typing complex documents, such as narrative and statistical reports, special correspondence, etc., from rough draft to final copy.
  • Ensuring proper format, grammar, spelling, and punctuation in all documents produced.
  • Gathering, compiling, and exchanging information used in reports regarding unit activities.
  • Operating standard office equipment, including personal computers, copiers, calculators, etc.
  • Exchanging information with citizens, agency representatives, and other City employees by telephone and in person.
  • Maintaining alphabetical and numerical files.
  • Maintaining confidentiality of sensitive information.
  • Performing other duties as assigned.
