About The Position

The Office Assistant is the first point of contact for visitors to the MSS St. Paul location, and handles inquiries in person or by phone, directing the person or caller to the appropriate staff member. This person is also responsible for providing clerical and administrative support to the operations team and the accounting team as needed.

Requirements

  • Preference given to candidates with at least one year of administrative/clerical experience in an office environment.
  • Must be comfortable and proficient using technology such as Office 365 applications (Word, Power Point, Excel).
  • Must be comfortable producing correspondence, large mailings, and creating Power Point presentations.
  • Must have the ability to manage and track multiple tasks while maintaining attention to detail.
  • Must be comfortable working as a member of a team as well as completing individual job tasks.
  • Must have a valid driver's license and be insurable as determined by our insurance carrier.
  • Must be able to pass a Department of Human Services background check and criminal background check.

Responsibilities

  • Courteously and efficiently answer incoming calls and greet visitors, directing them to the appropriate staff member.
  • Responsible for routing incoming mail to the appropriate person as well as process outgoing mail and packages as needed.
  • Responsible for maintaining office supplies, and ordering supplies as needed or requested.
  • Make appropriate preparations for meetings as requested and maintain the conference room calendar.
  • Perform data entry as required using spreadsheets and databases. Assist with maintaining accurate attendance records and assist with attendance audits as requested.
  • Maintain agency files and records including updating and tracking policies and maintaining the administrative manual.
  • Maintain and update agency phone lists.
  • Create and update onboarding materials for new hires and assist with coordination of agency wide orientation sessions.
  • Process and track incident reports using internal database.
  • Implement and participate in emergency procedures and drills as appropriate. Participate as a member of the safety committee representing the administrative staff at committee meetings.
  • Work on special projects as assigned.
