About The Position

The Pediatric Office and Volunteer Manager works under the Executive Director, Children’s Programs to support pediatric staff with various administrative tasks, special event planning, fundraising, and assistance with program implementation of hospice, palliative care, and bereavement support initiatives across Capital Caring Health service areas. This team member also works closely with the Director, Community and Volunteer Engagement, to support a variety of pediatric volunteer initiatives and other pediatric team members, such as pediatric nurse clinical supervisor, as appropriate.

Requirements

  • Must have 2-5 years of work experience in administrative/office management role
  • Must have prior experience with community-based event planning and fundraising
  • Desired to have prior experience and knowledge in the area of supporting death/dying, grief and loss
  • Bachelor’s degree in business administration, communications, or related field

Responsibilities

  • Support all administrative duties for the pediatric team
  • Perform receptionist duties directing pediatric family phone calls to appropriate team members
  • Manage and organize Pediatric Team Sharepoint and all Capital Caring Kids collateral
  • Assist with development of policies and procedures and ensure policies and procedures are adequately archived
  • Assist with pediatric team budget management, supply orders, check request submission, and patient care billing
  • Support with identifying pediatric donors/fundraiser opportunities and community partnerships
  • Maintains relevant data and spreadsheets, including cost reports, patient reimbursements, and medical/expressive therapy supply inventories
  • Identify opportunities for administrative management improvements
  • Collaborate with Lead Pediatric Social Worker and communicates to Executive Director, Children’s Programs, to provide resource support for pediatric bereavement programs
  • Provide resource and logistical support for annual events such as Point of Hope Camp and Children’s Celebration
  • Together with Lead Pediatric Social Worker, maintains Capital Caring Kids bereavement program, to include groups, educational workshops and individual counseling
