Requirements

  • Bachelor’s degree required
  • At least two years of experience in administrative support, office management or operations coordination required
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook required
  • Strong attention to detail and commitment to quality required
  • A commitment to working on-site at Gallup’s Chicago office up to five days a week required
  • Eligibility to work in the U.S. required; this position is not eligible for employment visa sponsorship

  • Experience using AI tools to enhance communication, productivity and workflows preferred

Responsibilities

  • Serve as a welcoming front desk presence, creating a warm, professional environment for associates and guests and enhancing the day-to-day workplace experience
  • Coordinate client and candidate visits, ensuring every in-office experience reflects Gallup’s premium brand
  • Act as the primary liaison for building management and office vendors, coordinating maintenance, facilities and workplace services (e.g., plants and coffee)
  • Ensure the office operates smoothly by maintaining supplies, coordinating mail and packages, and keeping all spaces organized and fully functional
  • Plan and execute internal events and experiences, including town halls, trainings, social gatherings and community service activities, in partnership with office leadership
  • Coordinate catering for in-office and client events, ensuring quality service and accommodating dietary needs
  • Support Chicago office leadership with scheduling, expense reporting, coordination and other administrative priorities
