When we engage we are all-in so to better those we serve. The Office Ambassador will serve as the primary point of contact for visitors, clients and employees in the West Michigan Region. This role plays an important part in creating a positive and welcoming atmosphere, ensuring that all individuals feel valued and supported. This position is full-time, Monday thru Friday from 8 AM – 5 PM.

Requirements

  • Proven experience as an office coordinator, administrative assistant or similar role.
  • Knowledge of office administrator responsibilities, systems, and procedures.
  • Proficiency in MS Office.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Professional appearance and demeanor.
  • Strong organizational and planning skills in a fast-paced environment.
  • High School degree
  • Ability to walk/stand for long periods and lift up to 30lbs.

Nice To Haves

  • Additional administrative assistant qualification is a plus.

Responsibilities

  • Greet and welcome visitors, clients and employees as they enter the office premises; directing visitors to the appropriate employees or meetings.
  • Provide exceptional customer service to all individuals interacting with the West Michigan office; addressing inquiries and resolving issues promptly and professionally.
  • Assist with scheduling appointments, coordinating meetings and managing conference room bookings.
  • Maintain cleanliness and organization of all common areas including reception, meetings rooms, kitchen, etc.
  • Manage office supplies, inventory and equipment include kitchen and conference rooms.
  • Coordinate with maintenance or contractors for repairs and upkeep as needed.
  • Coordinate with all departments to ensure smooth operations and communication flow.
  • Assist in organizing office events, meetings and gatherings.
  • Arrange catering services, set up meeting rooms and provide logistical support for events.
  • Act as liaison for regional community contacts.
